TERMS AND CONDITIONS To reserve an apartment we require either the full rental plus cleaning fee and deposit paid in advance or only the deposit with the full rental and cleaning fee paid in cash on arrival. The deposit will be refunded within one week from departure using the same method of transfer as the client used to pay the deposit (either bank wire or credit card via www.paypal.com). Your booking is not final until you have paid the amount due and received a booking confirmation with a printable .pdf file containing the confirmation. After you have made an online booking we will reserve the apartment for you for 3 workdays. If payment (deposit or full rental plus deposit and cleaning fee) is not made within these 3 days, we will cancel the reservation and accept bookings from other clients for the apartment in question. Deposit Depending on the apartment booked and the period rented, the damage deposit varies, but is usually between 2000 DKK and 5000 DKK for short term stays. Exact deposit depends on factors such as length of stay, category of apartment and number of tenants. After you have booked an apartment, you will receive an invoice stating the rental fee as well as the cleaning fee and deposit payable. Method of payment BANK WIRE: Full rental plus deposit and cleaning fee must be in our account within 3 working days of the booking. Full instructions on transferring the funds will be e-mailed to you shortly after you have filled out the booking form. A bank wire is easily carried out from your home banking programme or at your local bank branch. Bank wire details CREDIT CARD VIA PAYPAL: Full rental plus deposit and cleaning fee must be in our PayPal account within 3 working days of the booking. Full instructions along with an invoice from PayPal will be e-mailed to you shortly after you have filled out the booking form. Please note that there is a 4% PayPal fee for EU-residents and a 5% PayPal fee for non-EU residents when paying with credit card. The reason why we do currently not accept direct payment with credit cards is that PBS, the Danish national credit card gateway, currently charges very high fees for each transaction. The acceptance of credit cards directly on our site would make our apartments 6-8 percent more expensive. CASH ON ARRIVAL: Deposit must be paid within 3 working days of the booking by use of either bank wire or credit card via PayPal. Full rental sum plus cleaning fee must be paid in cash on check in and can be paid in either of these currencies: DKK (Danish Kroner), EUR (Euros), USD (US Dollars), GBP (Pound Sterling) SEK (Swedish Kroner) and NOK (Norwegian Kroner). Please note that there is a 5% fee on top of the foreign currencies. This is our security for drops in foreign exchange rates from date of booking to date of actual arrival. It also covers our currency-loss when exchanging foreign currency to Danish kroner. CASH ON ARRIVAL as a method of payment can only be used for short rentals where the renter will be paying for the full period in one installment. For longer term rentals where the renter will be paying on a monthly basis, CASH ON ARRIVAL can not be selected as payment method. Cancellation Cancellations are subject to a partly refund as per these rules: - At least 60 days prior to arrival: 90% refunded Cancellation of bookings where the full rental and cleaning fee are to be paid in cash on arrival, and where the cancelling party has prepaid a deposit are subject to a partly refund as per these rules: - At least 60 days prior to arrival: The full prepaid deposit minus a transaction and administration fee of DKK 500 is refunded The amount will be refunded within 5 workdays of cancellation. We strongly recommend that clients purchase a trip cancellation insurance. Any cancellation, including force majeure, will be subject to our cancellation policies as cited above. Change of property If CPH Rentals should be unable to accommodate the client in the reserved apartment, we reserve the right to transfer the client to a property of similar characteristics. If the client refuses to be transferred or if CPH Rentals are unable to accommodate the client in a similar property, the client is entitled to a full refund of any prepaid rental fee and /or deposit (excluding days already spend at a property, if this is the case). Arrival Regular check in is possible between 16:00 and 19:00 Check in between 19:00 and 23:00 can be conducted, but is subject to a DKK 350 late arrival fee. Clients arriving earlier than 16:00 are welcome to request an early check in. If we have no clients checking out the same day and the apartment has been cleaned, we will always try to accommodate the client. Departure Check out is no later than 11:00 on the day of departure. If the client wants to leave early in the morning, check out may be conducted on the day/night prior to departure. Clients are welcome to request a later check out, and if there are no new clients (or the owners of the house) checking in on the same day, we will try to accommodate such requests. In this case, check out must be conducted no later than 18:30 at a fee of 40% of one days rent. Late check outs will usually need to be agreed at least one week in advance, as we schedule the cleaning well in advance. Cleaning The apartment is cleaned upon arrival. You are not obligated to clean the apartment before check out, but you have to leave the property in an orderly state. This means that dishes must be washed (and dishwasher emptied), larger stains must be removed and all furniture must be in their original position. In case of minor failure to comply with the above rule, CPH Rentals will withhold a portion of the deposit corresponding to the standard cleaning fee for the apartment (between 430 DKK and 800 DKK). In case of major failure to comply with the above rule, CPH Rentals reserve the right to withhold the full deposit paid. Number of and names of guests Upon booking, all guests staying in the apartment must be registered with CPH Rentals. This include guests who may only be spending one or some nights at the apartment. Unless otherwise agreed with CPH Rentals the number of / names of guests, cannot be changed after the booking has been confirmed. The number of persons who may use the apartment can never exceed the number of persons allocated for each apartment, except for babies/infants under two years of age. CPH Rentals, at its sole discretion, will be entitled to request the client to leave the apartment, and the client shall have no right to claim any type of compensation. Any violation will force us to withhold the deposit. Pets and animals Unless otherwise agreed with CPH Rentals, any kind of pets and animals are strictly prohibited inside the apartment. Smoking Smoking is strictly prohibited (unless, in rare cases where the property owner has clearly stated that smoking is allowed). Any violation will force us to withhold the deposit. Behavior The client registered as the primary guest is responsible and liable for the correct behavior of all guests in the apartment and the strict enforcement of these rules: No parties! No exceptions! ( 2 to 4 people having a nice dinner with red wine and low key music that is shut off before standard quiet time is not a party). Any parties, loud noise, complaints from neighbors and/or involvement of police will result in the immediate eviction from the property regardless of the time of day or night. Quiet time is weekdays from 22:00 to 10:00 and fridays/saturdays/holidays from 24:00 to 10:00 . The only exception is new years eve 31 st December where quiet time is from 04:00 to 11:00 . The opposite of quiet time is not noise time. It only means that normal talk, low key music and television watching is allowed. Please keep in mind that all our apartments are located in residential buildings and that your neighbors are most likely not on vacation. They have to sleep and get up early in the morning. Any violation of behavioural rules will force us to withhold the deposit and any prepaid rent. Liabilities CPH Rentals nor the owner of the apartment shall be liable for any direct or indirect damages that may occur as a consequence of the clients use of the apartment, including without limitation, damages, insurance, losses because of fires, robbery or wrongful/criminal behavior. In case of any infringement of the aforementioned obligations, CPH Rentals at its sole discretion will be entitled to request the client to leave the apartment, and the client will have no right to claim any type of compensation. Website, photos and information We do our utmost to keep all photos and all information on our website and on the apartments individual profiles as up to date and accurate and possible. But all properties are owned by private people and decoration, furniture etc. may not be exactly the same as shown in our photos. CPH Rentals can not be held liable for any errors and/or omissions that may occur. CPH Rentals reserve the right to change any information including rental rates at any time we see fit. This does not apply for confirmed bookings. House rules (Please read carefully – any violations can result in eviction and the withholding of deposit and prepaid rent) 1. No smoking unless otherwise agreed in writing. If there is a private terrace/balcony/garden belonging to the apartment, smoking is allowed here providing that all doors/windows leading from the outside area to the apartment are kept closed. Please use an ashtray. If there is no ashtray in the apartment, you will have to buy one yourself before smoking outside. 2. If there is no outside terrace/balcony/garden smoking must take place outside in the street. Don’t throw cigarette buts in the street. Bring your own ashtray down to the street. 3. Please respect your neighbors. They are normal, working people who are propably not on holiday and who wants peace and quiet during both days and nights. Keep quiet when walking up and down the stairway in the building and respect the quiet hours strictly. Any violation of house rules can result in the immediate eviction from the property and the withholding of your deposit and any prepaid rent. General Tips 1. Please turn of all energy consuming appliances when leaving the apartment and when not in use during day and night. This includes all lights, air-condition, television etc. We care about conserving energy. 2. While Copenhagen is one of the safest capitals in the world, there are from time to time foreign pick-pockets and petty thieves in town. They operate busses and crowded areas. Please leave your valuables in the apartment and lock it carefully. Don’t tempt anybody by walking around the city with a lot of cash. 3. Please do not leave garbage in the apartment during your stay and upon check out. Copenhagen has a very effective garbage-removal system, and garbage should be left in the appropriate trash-bins (usually found in the court yard) every evening (it is picked up early in the morning, in most neighborhoods all days but sunday.) 4. Take the off beaten track. Stray away from the main tourist areas and into the side streets. This is where you find the real, old Copenhagen.
